The Modular Email System was a workflow initiative I spearheaded to streamline a high-churn pharmaceutical email production process, transforming a Photoshop-based workflow into a scalable Adobe XD template system.
The original process relied on large Photoshop files that were slow to open and cumbersome to work in, especially as recurring updates, shared assets, responsive layouts, and multiple email components added more complexity. I identified an opportunity to improve the system, then led the creation of a centralized template that brought layouts, reusable components, brand assets, production guidance, and handoff requirements into one working file.

Built for Art Directors and Designers to use directly, the template included an in-depth guide embedded into the file itself, giving teams clear direction as they worked and reducing the need for repeated questions or clarification. It documented component usage, layout structure, type treatment, spacing, asset preparation, and handoff requirements, creating a more intuitive and self-sustaining system for day-to-day use.
XD Working File: Template + Guidelines
The final template supported recurring email needs across subject lines, preheaders, CTA modules, mobile and desktop layouts, alt text, hyperlinks, Outlook pop-up states, and production notes. I also built reusable components and Creative Cloud assets based on the brand style guide, helping standardize high-frequency elements while allowing each email to flex by audience, message, and layout.

In close collaboration with Merkle, the third-party development team, I refined the file structure and handoff process to better support production. The system improved workflow, consistency, and collaboration across Art Directors, internal team members, and developers, and was later adapted for additional brands and teams.
